1. General
Ink & Paper Italy retreats are small, intimate creative experiences designed to offer focused time for printmaking, learning, cultural exchange, and connection.
By booking a place, you acknowledge that you’ve read and agreed to these Terms & Conditions.
They are here simply to create clarity and ensure a smooth and fair experience for everyone involved.
2. Booking & Payment
A €500 deposit is required to reserve your place on an Ink & Paper Italy retreat.
Your booking is confirmed once the deposit has been received and confirmation has been issued.
The remaining balance is due by the agreed payment date communicated at the time of booking.
For bookings made closer to the retreat start date, full payment may be required at the time of booking.
All prices are listed in EURO unless otherwise stated.
3. Deposits & Payments
The €500 deposit secures your place on an Ink & Paper Italy retreat and allows us to confirm the villa, studio time, materials, chefs, and overall retreat arrangements in advance.
Because these commitments are made specifically for each group, the deposit is non-refundable.
If you need to cancel, please notify Ink & Paper Italy as soon as possible.
Payments made beyond the 30-day booking grace period are generally non-refundable, as funds will already have been committed to securing the venue, accommodation, chefs, and materials for your place.
That said, if your circumstances change, please do get in touch — in some cases, if your place can be filled by another participant, we will always do our best to transfer your booking or refund payments (minus transaction fees where applicable).
This approach allows us to responsibly plan each retreat while remaining as fair and flexible as possible for participants.

4. Cancellations by Participants
If you need to cancel your place, please let Ink & Paper Italy know as soon as possible.
If cancellation occurs within 30 days of booking, any payments beyond the deposit may be refunded (minus transaction fees).
After this 30-day period, payments are non-refundable unless your place can be filled.
No refunds can be provided for unused portions of the retreat, including missed meals, workshops, accommodation nights, excursions, or early departures.
Travel insurance is strongly recommended to cover unexpected changes.
5. Retreat Viability & Cancellations by Ink & Paper Italy
Retreats require a minimum number of participants in order to run sustainably and maintain the quality of the experience.
If minimum participant numbers are not reached, Ink & Paper Italy reserves the right to cancel or reschedule a retreat.
In this situation, all payments made directly to Ink & Paper Italy will be refunded in full.
In the unlikely event that a retreat must be cancelled due to circumstances beyond reasonable control — including but not limited to severe weather, illness, government restrictions, transport disruption, venue issues, or force majeure — all payments made directly to Ink & Paper Italy will be refunded in full.
Ink & Paper Italy cannot be held responsible for external costs such as flights, independent accommodation, visas, or travel arrangements.
Minor adjustments to schedules or activities may occasionally occur where necessary, but the overall retreat experience will always be preserved.
6. Travel, Accommodation & Insurance
Participants are responsible for arranging their own travel to Chiusi–Chianciano Terme railway station unless otherwise arranged.
Transfers to and from the station are included within scheduled arrival and departure windows.
Travel insurance is strongly recommended and should include:
• Trip cancellation
• Medical cover
• Travel disruption
7. Health, Safety & Liability Waiver
Printmaking involves tools, materials, and processes that require care.
By participating, you agree to:
• Follow studio safety guidance
• Take part responsibly
Participants are asked to inform the organiser of any relevant medical conditions or allergies prior to arrival.
Mobility, Walking & Assistance
Ink & Paper Italy retreats take place in historic Italian villages and rural settings. As such, light to moderate walking is part of the experience, including:

Walking between the villa and studio

Steps and uneven surfaces

Village streets and occasional stairs during excursions

We warmly welcome participants with a range of abilities and are always attentive, patient, and willing to assist where reasonably possible. In past retreats, we have happily helped participants with:

Navigating steps

Entering and exiting vehicles

Room allocation on ground floors where available

However, please note:

We are not able to provide wheelchairs, mobility aids, or lifting assistance

We cannot guarantee step-free access in historic buildings or villages

Participants should feel confident managing daily movement with minimal assistance
Our priority is always the safety, comfort, and wellbeing of the entire group, while fostering a supportive and caring environment for everyone.
If you have mobility concerns or questions, we encourage you to contact us in advance so we can discuss suitability and expectations openly.
8. Photography & Media
During the retreat, photographs and short video recordings may be taken for promotional or archival purposes.
By attending, you grant Ink & Paper Italy permission to use this material for marketing and documentation, if you prefer not to be included, simply let us know in writing before the retreat begins.
9. Community Environment
Ink & Paper Italy retreats are built on mutual respect, shared creative space, and consideration for others.
Participants are expected to behave respectfully toward fellow guests, staff, and the local environment.
In rare cases of disruptive, unsafe, or inappropriate behaviour, Ink & Paper Italy reserves the right to ask a participant to leave the retreat without refund.

By booking and attending a retreat, you confirm that you’ve read and accepted these Terms & Conditions.
