1. General
Ink & Paper Italy retreats are small, intimate creative experiences designed to offer participants focused time for printmaking, learning, cultural exchange, and connection. By booking a place on one of our retreats, you acknowledge that you have read, understood, and agreed to the following Terms & Conditions.
These terms exist to ensure clarity, fairness, and transparency for everyone involved.
2. Booking & Payment
To secure your place on an Ink & Paper Italy retreat, a deposit is required at the time of booking.
Your place is confirmed only once the deposit has been received.
The remaining balance must be paid by the date specified at the time of booking. Failure to complete payment by the due date may result in forfeiture of your place.
All prices are listed in EURO unless otherwise stated.
3. Deposits & Payments
Due to the nature of retreat planning — including accommodation bookings, venue hire, materials, and advance commitments — all deposits are non-refundable.
In most cases, payments are non-refundable once made. This is because significant costs are incurred well in advance to secure the retreat location and services.
However, we understand that unforeseen circumstances can arise. While refunds cannot be guaranteed, requests will be considered on a case-by-case basis, depending on timing and whether costs can be recovered. Any such consideration is entirely at the discretion of Ink & Paper Italy.
4. Cancellations by Participants
If you need to cancel your participation:

Cancellations made more than 60 days before the retreat start date may be considered for a partial refund only if your place can be filled by another participant.

Cancellations made within 60 days of the retreat start date are unlikely to be eligible for a refund due to fixed commitments and costs already incurred.

Deposits are non-refundable under all circumstances.
We strongly recommend that participants take out comprehensive travel insurance to cover cancellations, illness, or unforeseen events.
5. Cancellations or Changes by Ink & Paper Italy
In the unlikely event that Ink & Paper Italy must cancel a retreat due to circumstances beyond our control (such as venue unavailability, serious illness, or force majeure events), all payments made to Ink & Paper Italy will be refunded in full.
Ink & Paper Italy is not responsible for additional costs incurred by participants, including travel expenses, accommodation outside the retreat, or insurance costs.
We reserve the right to make minor changes to the retreat schedule or program if necessary, without altering the overall experience.
6. Travel, Accommodation & Insurance
Participants are responsible for arranging their own travel to and from the Chiusi-Chianciano Terme railway station, unless otherwise specified. Transfers to and from the station are inclusive within set time-frames.
Travel insurance is mandatory and should include coverage for:

Trip cancellation

Medical emergencies

Travel disruptions
By attending the retreat, you confirm that you are physically and mentally fit to participate in the activities offered.
7. Health, Safety & Liability Waiver
Ink & Paper Italy retreats involve printmaking processes, tools, and materials that require care and attention.
By participating, you acknowledge that:

You take part in all activities at your own risk

You agree to follow all safety instructions provided during the retreat

Ink & Paper Italy is not responsible for injury, illness, loss, or damage to personal property
Participants are responsible for informing the retreat organiser of any relevant medical conditions or allergies prior to arrival.
Mobility, Walking & Assistance
Ink & Paper Italy retreats take place in historic Italian villages and rural settings. As such, light to moderate walking is part of the experience, including:

Walking between the villa and studio

Steps and uneven surfaces

Village streets and occasional stairs during excursions
We warmly welcome participants with a range of abilities and are always attentive, patient, and willing to assist where reasonably possible. In past retreats, we have happily helped participants with:

Navigating steps

Entering and exiting vehicles
-
Room allocation on ground floors where available
However, please note:

We are not able to provide wheelchairs, mobility aids, or lifting assistance
-
We cannot guarantee step-free access in historic buildings or villages
-
Participants should feel confident managing daily movement with minimal assistance
Our priority is always the safety, comfort, and wellbeing of the entire group, while fostering a supportive and caring environment for everyone.
If you have mobility concerns or questions, we encourage you to contact us in advance so we can discuss suitability and expectations openly.
8. Photography & Media
During the retreat, photographs and short video recordings may be taken for promotional or archival purposes.
By attending, you grant Ink & Paper Italy permission to use this material for marketing and documentation, unless you notify us in writing prior to the retreat that you wish to opt out.
9. Code of Conduct
Ink & Paper Italy is committed to creating a respectful, inclusive, and supportive environment.
Participants are expected to behave in a considerate and respectful manner toward others, the retreat venue, and local community. We reserve the right to remove any participant whose behavior is disruptive or inappropriate, without refund.
10. Acceptance of Terms
By booking and attending an Ink & Paper Italy retreat, you confirm that you have read, understood, and accepted these Terms & Conditions in full.
